Job Description

The Junior Warehouse Data Controller is responsible for ensuring the accurate execution of data and documentation processes within warehouse operations. The role supports the Operations team by managing invoices, delivery notes, and warehouse documents, while contributing to efficient communication with Sales, Collections, and Finance teams.
• Bachelor’s degree in Commerce (B. Com) or equivalent.
Years of Experience
• Minimum 2 years in an operational support or warehouse documentation role.
• Operational roles in trading, logistics, or FMCG environments.
• Invoice processing, documentation handling, and warehouse support.
• Strong IT skills: Excel skills is a must (formulas - VLOOKUP - Pivot), ERP system knowledge preferred
• Good product knowledge.
• Effective communication and customer service skills.
• Strong multitasking ability and organizational skills.

Responsibilities Duties:

Documentation & Invoice Management
• Generate delivery details and provide email support to the Sales Support team.
• Separate and organize Delivery Notes for Operations Executives to prepare invoices.
• Track invoices and delivery notes for accuracy and completion.
• Scan, log, and manage all warehouse operations department documents.
• Prepare invoices for walk-in clients and record them as retail sales.
• Post invoices and prepare emergency invoices as required.
• Validate and post invoices for month-end closing.
• Coordinate with Operations Executives to resolve invoice issues.
• Email scanned copies of invoices and supporting documents to Collections and Finance.
• Email invoices to Finance for cancellations and credit note processing.

Sales & Customer Support
• Answer incoming telephone calls from the Sales team, assisting with queries and problem resolution.
• Provide requested product samples to the Sales team, tracking and recording all issued samples.
• Follow-up on quotes, samples, approvals, and placing orders based on manager confirmation.
• Ensure awareness of all company products, offers, promotions, and new product developments.

Operations Support
• Support the Sales and Operations teams with emergency and holiday coverage, ensuring uninterrupted client deliveries.
• Participate in quarterly and year-end stock count activities.
• Practice effective and efficient use of company resources.
• Provide regular updates and recommendations for service improvements to the line manager.
• Adhere to company policies, procedures, and business ethical practices.
