Job Description

Our client, a well-established international law firm, is seeking to recruit a Junior Legal Secretary to join their Dubai office. This is an excellent opportunity for a motivated and detail-oriented legal support professional with 1–3 years of experience to develop their career within a prestigious, fast-paced international legal environment.
 

• 1–3 years of experience as a Legal Secretary, Junior Legal Secretary, Legal Administrative Assistant, or similar role within a law firm or professional services environment.
• Previous experience supporting multiple stakeholders in a fast-paced environment.
• Strong proficiency in Microsoft Office applications, particularly Word, Outlook, PowerPoint, and Excel.
• Exposure to legal document management systems such as iManage, Aderant, Intapp, and other similar apps would be advantageous.
• Excellent written and verbal communication skills in English.
• Strong organizational and time-management skills with the ability to prioritize effectively.
• Exceptional attention to detail and accuracy.
• Professional, proactive, and service-oriented approach.
• Ability to work independently while contributing positively to a team environment.
• High level of discretion and confidentiality.
• Experience within an international law firm would be highly desirable.
• Candidates must currently be based in Dubai or elsewhere within the UAE and willing to relocate.

Responsibilities Duties:

The successful candidate will provide high-quality secretarial and administrative support to lawyers across the firm's practice groups, ensuring the efficient management of legal documentation, client communications, scheduling, and day-to-day office operations.

Key Responsibilities
• Provide comprehensive secretarial and administrative support to lawyers and legal teams.
• Prepare, format, amend, proofread, and finalize legal documents, correspondence, reports, and presentations.
• Manage diaries, coordinate meetings, and arrange conference calls across multiple time zones.
• Handle travel arrangements, including flights, accommodation, visa requirements, and expense claims.
• Maintain and organize electronic and physical filing systems in accordance with firm policies.
• Assist with document production, document execution processes, and client onboarding procedures.
• Liaise professionally with clients, external counsel, courts, and service providers.
• Support billing and time-entry processes, including the preparation of invoices and expense reports.
• Monitor deadlines and assist with workflow management to ensure timely completion of tasks.
• Perform general administrative duties and provide additional support as required.
